Adaptive Web Hosting — Refund Policy

This Refund Policy explains when and how you can obtain a refund for services purchased from Adaptive Web Hosting ("Adaptive," "we," "us," or "our"). It forms part of, and should be read together with, our Terms & Conditions. By purchasing or using the Services, you agree to this policy.

1. 30-Day Money-Back Guarantee

1.1 New customers may request a full refund of their hosting plan fees within thirty (30) days of the initial purchase date. This guarantee lets you evaluate the Services risk-free.

1.2 The guarantee applies to first-time hosting plan purchases only. It does not apply to renewals, to repeat purchases of a plan you previously held, or to accounts that have previously been refunded.

2. What Is Covered

The Money-Back Guarantee covers only the recurring hosting plan fee for your first qualifying purchase.

3. What Is Not Covered

The following are non-refundable, including within the first 30 days, once provisioned or rendered:

  • Domain name registrations, transfers, and renewals (subject to registry rules and our Domain Name Agreement)
  • SmarterMail Pro mailboxes and any other add-ons
  • Administrative, setup, or overage fees
  • Dedicated IP addresses and any third-party products or licenses
  • Charges incurred through abuse, fraud, or violations of our Acceptable Use Policy

4. Strict No-Refund Policy After the First 30 Days

4.1 All fees are strictly non-refundable after the first thirty (30) days, except where a refund is expressly required by applicable law. This applies to all plans and billing cycles, including monthly, annual, and multi-year terms.

4.2 We do not provide prorated or partial refunds for unused time when you cancel mid-term, downgrade, close, or stop using an account. Once a billing term begins, the fee for that term is earned in full.

4.3 Non-use of the Services, or failure to cancel before a renewal, does not entitle you to a refund. You remain responsible for all charges until you properly cancel in accordance with Section 6 and our Terms & Conditions.

5. Renewals

5.1 To avoid charges, you must cancel before your renewal date. Renewal charges are non-refundable.

5.2 If you are charged for a renewal you did not intend, and you notify us within seven (7) days of the charge by opening a support ticket from your client area at cp.adaptivewebhosting.com, before significant resources are consumed, we may, at our sole discretion, issue a refund or account credit. This is a courtesy, not an entitlement.

6. How to Cancel and Request a Refund

6.1 To cancel a service and stop future billing, log in to your client area at cp.adaptivewebhosting.com and submit a cancellation request using the Account Cancellation option for the relevant service. Submitting your request through the client area is the only way to ensure a cancellation is received and processed; we do not accept cancellation requests by email.

6.2 To request a refund you believe you are eligible for under Section 1, open a support ticket from the Helpdesk in your client area at cp.adaptivewebhosting.com, including your account or domain details and the reason for the request. If you are unable to log in, you may email [email protected] as a last resort. Approved refunds are issued to the original payment method, typically within 5–10 business days depending on your payment provider.

7. Chargebacks and Payment Disputes

7.1 If you have any billing concern, you must contact us first by opening a support ticket from the Helpdesk in your client area at cp.adaptivewebhosting.com (or, if you cannot log in, by emailing [email protected] as a last resort) so we can resolve it. Most issues are resolved quickly.

7.2 Initiating a chargeback, payment reversal, or bank/card dispute instead of cancelling your service or contacting us is a violation of these terms. A chargeback is not a substitute for the cancellation process, and choosing it because it is more convenient than cancelling properly is expressly prohibited.

7.3 Because a chargeback filed in place of a proper cancellation imposes unnecessary cost and administrative burden on Adaptive, we treat such conduct seriously. Upon receiving a chargeback or dispute, we may, without further notice:

  • Immediately suspend or terminate all of your services and associated accounts;
  • Treat all outstanding balances as immediately due and payable;
  • Charge a reasonable administrative and processing fee to cover the cost of responding to the dispute, in addition to any fee imposed by the payment processor;
  • Permanently ban you and your associated identities from purchasing services from Adaptive in the future; and
  • Refer the matter for collection and report the activity to relevant fraud-prevention services.

7.4 We will contest chargebacks that we believe to be illegitimate — including chargebacks for services that were delivered, or for time that is non-refundable under this policy — and we will provide the payment processor with our records, server logs, your acceptance of these terms, and usage evidence in response.

7.5 Filing a fraudulent chargeback (for example, disputing a charge for services you used or authorized) may also breach your agreement with your card issuer and applicable law.

8. Discontinuation or Cessation of Services

8.1 If Adaptive modifies, suspends, discontinues, or ceases providing the Services, in whole or in part, or ceases business operations, you will not be entitled to a refund of any prepaid fees for unused time, except where a refund is expressly required by applicable law.

8.2 Where practicable, we will use reasonable efforts to provide advance notice of a planned discontinuation so that you can retrieve your data.

9. Changes to This Policy

We may update this Refund Policy from time to time. The current version is always available on our website, and the "Last Updated" date above reflects the latest revision. Your continued use of the Services after changes take effect constitutes acceptance.
